Google Drive/Forms Link Too Long? How to Shorten It in One Minute (2026)

Google Drive has no button to shorten a share link, and the forms.gle link from Google Forms cannot be changed or tracked. Here is how to shorten both in a minute.

A Google Drive link is long because it carries the file's full ID: a share link like docs.google.com/document/d/1aBcD3fGh.../edit?usp=sharing runs past 100 characters, and Drive, Docs, Sheets and Slides have no option to shorten it. Google Forms is the exception: it gives you a forms.gle link, but with a random ending that always points to the same form.

The fix is to shorten the link yourself before you share it. This guide shows how to do it in about a minute, what to set in Drive so people do not see "You need access", and how to keep the short link working when you swap the file or open a new form.

Every Drive file has a unique ID of roughly 33 to 44 random characters, and the share link carries all of it. Around the ID sit the domain, the file type (document, spreadsheets, presentation, file) and a tail such as /edit?usp=sharing. None of it is meant for a human to read.

Google used to cover this with goo.gl, but that service stopped creating links in 2019 and began switching off old ones in 2025. There is no first-party replacement for Drive files. The Google URL Shortener alternative guide covers what happened in more detail.

  1. In Drive, click Share on the file and copy the link.
  2. Paste it into a URL shortener.
  3. Replace the random ending with a readable one: linx.ly/course-syllabus instead of linx.ly/k3Xq9.
  4. Save it and share the short link wherever the long one was going to go.

The short link opens the same file. Nothing about the file, its permissions or its location in Drive changes.

Set sharing first, or people see "You need access"

A short link only forwards people to the Drive URL. It does not change who is allowed to open the file.

If the file is restricted to specific people, everyone else who taps the short link lands on Google's "You need access" page and has to send a request. Before you share, open Share in Drive and set General access to Anyone with the link, with the role you want (Viewer, Commenter or Editor).

Check the link in a private browser window before sending it. If it opens there without a sign-in, it will open for everyone else.

Forms is the exception. When you click Publish, the dialog that opens shows the responder link with a Shorten URL checkbox under it. Tick it and you get something like forms.gle/LWoRuYMKw9wdraSs7.

That is short, and for a one-off form it may be enough. It has three limits worth knowing before you print it or say it out loud:

  • The ending is random. Seventeen mixed-case characters cannot be dictated in a classroom or typed from a projector without mistakes.
  • It always points to the same form. If you close this form and open a new one next term, every place you posted forms.gle/... still leads to the old one.
  • It does not count opens. Forms counts responses. It cannot tell you that 400 people opened the form and 40 finished it.

A short link of your own fixes all three. You can shorten the full form URL or the forms.gle one; both work.

Once a link has been sent to a class, printed on a poster or pinned in a group chat, you cannot recall it. A short link lets you change where it goes without touching any of those places.

This is useful when you move from last year's syllabus to this year's, replace a closed registration form with a new one, or send people from a finished survey to its results. The link stays the same; you update the destination.

To be precise about the overlap: if you only need to replace a PDF or image with a newer copy of the same file, Drive's own Manage versions keeps the original link. A short link is what you need when the new content is a different file, a different form, or not in Drive at all.

Put it on a slide, a poster or a whiteboard

A readable short link can be written by hand and typed correctly by the people reading it. linx.ly/club-signup survives a whiteboard; a Drive URL does not.

Drive does not show a personal account how many people opened a shared file, and Forms only counts people who submitted. A short link records every click, along with the country and device of the person who clicked.
